Terms & Conditions for use of
Inveraray Hub
General
For the purpose of these conditions the term “TSI” shall include persons authorised by the Argyll & Bute Third Sector Interface (TSI) and the term 'hirer' shall also include their employees, their agents, tradesmen, contractors, suppliers and member of general public entering at the invitation, express or implied, of the hirer of or their agents, tradesmen, contractors and suppliers.
The relevant TSI team members shall have access to all parts of the Property at all times during periods of let.
Advice and instructions of TSI must be strictly adhered to at all times during the let.
TSI or persons authorised by TSI shall have the right to suspend or take action at their discretion on any matter which, in the opinion of TSI's team, does not comply with the terms of these conditions, or which they consider necessary in the interests of safety and good order or to deal with any contingency not covered by these Conditions of Let.
Use of Premises
The Hirer shall not use the Premises for any purpose other than that described on the Room Hire Booking Form and shall not sub-hire or use or allow the Premises to be used for:
- Any political rallies or demonstrations.
- For purposes which are illegal i.e. be they forbidden by law or unauthorised by official or accepted rules.
- For functions attended by people whose presence may cause civil unrest or division within the community.
- To an organisation or individual which has been banned by law.
- Or to do anything or bring onto the Premises anything which may endanger the same or render invalid any insurance policies in respect thereof.
The Venue reserves the right to exclude or eject from the Premises any person, and to cancel any booking where it considers:
- That such events may be contrary to the interest of the general public or contrary to any law or act of Parliament. Any bookings will also be subject to consideration from the police to ensure the safety of the community is assessed against the request for a venue booking.
- The users of the premises may do something that may cause or pose a risk of loss, damage or significant expense to the Venue or harm the reputation of the Venue.
- The Hirer shall ensure that no equipment, goods or other materials are left on the Premises overnight.
The premises is let to lessees free of charge as members of the TSI and therefore no subletting is permitted nor is the use of the building permitted for the purposes of generating income via ticket sales or any other commercial function.
Loss, Injury or Damage
The hirer is responsible for any loss or damage to the building, fixtures, fittings, contents and décor during the let. An inventory is available on the wall by the sign-in area.
The hirer is advised that TSI can accept no responsibility in respect of loss or theft of articles from the premises during the let or any articles left on the premises at any time.
TSI accepts no responsibility for any loss or damage, including personal injury and death, resulting from the premises proving to be unsuitable for the hirers intended use.
When an event is open to the public, the hirer is required to take out at least public liability insurance and the premises are let on the understanding that this will be done.
The hirer is advised to take out appropriate insurance to cover loss or damage of property belonging to themselves, or members of the public and to cover death or injury of persons in the building during the period of hire.
The hirer must indemnify TSI against any loss or damage as described within these conditions.
Layout and Capacity
There are four modular tables in the board room to allow setup as you wish – but as a default it is set up as one board room table with up to 12 chairs. If you require it to be set up differently in advance please email laurenmartin@argylltsi.org.uk giving 48 hours' notice. An additional length of table can also be requested in advance adding two extra seat spaces.
The room has a capacity of 24 chairs if the room is to be set up theatre style and the table removed. Contact us for further information.
Licences
The Hirer shall be responsible for obtaining any licences and for completing any returns that may be required by the Performing Rights Society, Phonographic Performance Limited, The Copyright Licensing Agency Limited and all other similar bodies in connection with the hiring and the Hirer shall indemnify the Venue against the consequences of the Hirer’s failure to do so.
The Hirer shall ensure that they have all permits, consents, licences, permissions, certificates, authorisations and approvals whether of a public or private nature which shall be required by any authority or person in respect of the event. This includes where required a licence issued by the Performing Rights Society and any copyright permission.
Health & Safety
The hirer is responsible for ensuring that all gangways, doorways, stairways, exits, emergency exits and entrances are kept unobstructed at all times.
Hirers must make themselves aware of Fire Regulations and procedures in force and as outlined in the fire evacuation procedures.
No explosives, highly flammable spirits or liquid gas containers shall be brought into the Property and the use of naked lights in any part of the Property is strictly prohibited.
Any chemical or substances used by lessees must be approved by TSI. In accordance with the COSHH regulations TSI would then seek a product data sheet and there after carry out assessment of the product suitability in relation to Health and Safety. No chemicals will be allowed in any facility without prior approval.
Covid restrictions change all the time and it is expected that you will ensure your event is compliant with any Covid regulations in force at the time of booking and of the event itself.
In the event of an accident within the premises the lessee must report the incident immediately to the Business Manager.
Property/Equipment
All additional fittings, decorations or scenery of any kind provided by the hirer shall be subject to the approval of TSI before being fitted and must be removed, if required, on the orders of TSI. Failure to remove items as required will result in making arrangements to remove the same at the hirer's expense.
All other property brought into the facility by hirers must be removed at the end of the let unless otherwise authorised by TSI. Failure to comply with this condition will result in hire charges being extended to cover items involved and or any costs incurred relating to their temporary removal.
The hirer shall not interfere with electrical fixtures and fittings. No extension from existing electrical fittings shall be made without the consent of TSI.
No fittings of any kind (bolt, nails, screws, blue tack etc.) shall be attached to any part of the interior or exterior of the building without prior consent from TSI.
All hirers, including organisations, must leave the Property in a clean and tidy condition – this includes table surfaces, the coffee machine and washing up. Failure to comply may result in additional charge to cover cost of additional cleaning.
No posters, boards, placards, logos, fittings, banners, signs or advertisements or other display materials shall be affixed to any internal or external doors, walls and windows without prior consent being sought from TSI.
Smoking
TSI operates a no smoking policy in all its properties.
Amendment to conditions.
TSI reserves the right to amend or add to these conditions of let at any time.
